Retreat Policies & Terms

Effective Date: August 12, 2026

Please review these policies carefully before booking a Bookish Haven Retreat. By completing a reservation and accepting these terms, you acknowledge that you have reviewed and agree to the policies applicable to your retreat.

​

Individual retreat pages, invoices, or booking confirmations may contain additional retreat-specific terms. When a retreat is designated as a Special Destination Retreat, the 12-Month Cancellation Policy below applies instead of the standard 6-Month Cancellation Policy.

Reservations & Deposits

​

Retreat reservations are first come, first served and are not confirmed until the required deposit or initial payment has been received.

• Unless otherwise stated, a $100 non-refundable deposit is required to reserve your spot.

• The deposit is applied toward the total retreat price.

• Some retreats may require a different deposit amount, which will be disclosed before booking.

• Participants are responsible for providing accurate booking and contact information.

• Only registered or specifically authorized guests may stay in retreat accommodations or participate in included retreat activities.

Payment Plans

​

Payment plans may be available for eligible retreats.

​

• Participants must follow the payment schedule provided at booking, by invoice, or by written communication.

• All balances must be paid by the stated final payment deadline.

• A 5% processing fee is added to the retreat total to cover payment processing and administrative costs.

• Late payments may incur a $10 late fee.

• Two missed scheduled payments without communication may result in cancellation.

• Alternative payment arrangements must be approved by Bookish Haven Retreats LLC in writing.

If a reservation is canceled because of missed payments, refund or credit eligibility will be determined according to the cancellation policy applicable to that retreat.

​

Standard 6-Month Cancellation Policy

​

Unless a retreat is specifically designated as a Special Destination Retreat, the following policy applies.

More Than 6 Months Before the Retreat

​

If you cancel more than 6 months before the scheduled retreat start date:

​

• Your booking deposit remains non-refundable.

• Eligible payments made beyond the deposit will be issued as Bookish Haven Retreat Credit.

• No cash refund will be issued.

​

6 Months or Less Before the Retreat

​

If you cancel 6 months or less before the scheduled retreat start date:

​

• All payments made are non-refundable.

• No retreat credit will be issued.

• Payments already made are forfeited except where otherwise required by applicable law.

​

Retreat Credits

​

Eligible retreat credits:

• Are based on eligible payments actually received.

• Are valid for 24 months from the date issued.

• Have no cash value.

• Cannot be redeemed for cash.

• Are non-transferable to another person unless approved in writing.

• Are subject to availability.

• May be applied toward another eligible Bookish Haven retreat.

• Require the participant to pay any difference if the new retreat costs more than the available credit.

Special Destination Retreats

12-Month Cancellation Policy

​

Certain retreats require substantially greater advance commitments for accommodations, transportation, vendors, excursions, activities, or other services.

​

A retreat subject to this policy will be clearly identified as a Special Destination Retreat – 12-Month Cancellation Policy Applies on the applicable retreat page, invoice, booking form, or other booking documentation.

​

For these retreats, this 12-Month Cancellation Policy replaces the Standard 6-Month Cancellation Policy.

​

More Than 12 Months Before the Retreat

​

If you cancel more than 12 months before the scheduled retreat start date:

​

• Your booking deposit remains non-refundable.

• Eligible payments made beyond the deposit will be issued as Bookish Haven Retreat Credit.

• No cash refund will be issued.

​

12 Months or Less Before the Retreat

​

If you cancel 12 months or less before the scheduled retreat start date:

​

• All payments made are non-refundable.

• No retreat credit will be issued.

• Payments already made are forfeited except where otherwise required by applicable law.

​

Special Destination Retreat Credits

​

Credits issued under this policy:

​

• Are valid for 24 months from the date issued.

• Have no cash value.

• Cannot be redeemed for cash.

• Are non-transferable unless approved by Bookish Haven Retreats in writing.

• Are subject to availability.

• May be applied toward another eligible retreat.

• Require payment of any difference if the new retreat costs more.

The applicable cancellation policy will be identified before booking.

 

Reservation Transfers

​

Transfer requests must be submitted in writing.

​

For retreats under the Standard Cancellation Policy, transfer requests made more than 6 months before the retreat may be handled through eligible retreat credit.

​

For Special Destination Retreats, transfer requests made more than 12 months before the retreat may be handled through eligible retreat credit.

​

Inside the applicable 6-month or 12-month cancellation window, reservations are non-transferable unless Bookish Haven Retreats approves an exception in writing.

​

Participants may not independently sell, assign, give away, or transfer their reservation to another person.

​

No-Shows, Late Arrival & Early Departure

​

Failure to attend a retreat does not qualify for a refund, credit, or transfer.

Arriving late or leaving early does not qualify for reimbursement or credit for unused:

​

• Accommodations

• Meals

• Activities or excursions

• Transportation

• Workshops

• Merchandise

• Other included retreat services

 

If Bookish Haven Retreats Cancels

​

If Bookish Haven Retreats cancels the entire retreat, participants will be offered either:

​

• A refund of amounts paid directly to Bookish Haven Retreats for the canceled retreat; or

• The option to transfer eligible amounts to another available retreat.

​

Bookish Haven Retreats is not responsible for independently purchased airfare, transportation, lodging, travel insurance, or other third-party expenses except where required by applicable law.

A reasonable change to an itinerary, vendor, activity, restaurant, transportation arrangement, schedule, or accommodation does not by itself constitute cancellation of the entire retreat.

 

Retreat & Itinerary Changes

​

Retreat itineraries are planned in advance but may reasonably change.

​

Bookish Haven Retreats may modify:

​

• Activities and excursions

• Restaurants and meals

• Vendors

• Workshops

• Transportation arrangements

• Daily schedules

• Check-in or activity times

• Accommodations

• Other itinerary elements

​

Changes may occur because of weather, safety concerns, availability, vendor cancellations, property issues, transportation disruptions, operational needs, or circumstances outside our reasonable control.

When practicable, Bookish Haven Retreats will make reasonable efforts to provide a comparable alternative.

Reasonable itinerary changes do not automatically qualify participants for refunds or retreat credits.

 

Accommodations

​

Retreat accommodations may include vacation rentals, hotels, resorts, cabins, villas, or other lodging.

Depending on the retreat and reservation selected, accommodations may include:

​

• Private rooms

• Shared rooms

• Single beds

• Shared beds

• Shared bathrooms

• Communal spaces

​

Participants are responsible for reviewing their accommodation selection before booking.

Room and bed assignments are considered final unless Bookish Haven Retreats approves a change.

If a lodging property becomes unavailable or a change is reasonably necessary, Bookish Haven Retreats may substitute accommodations and will make reasonable efforts to provide a comparable retreat experience.

Participants must follow all applicable lodging and property rules.

​

Participants may be financially responsible for damage they intentionally or negligently cause.

 

Co-Ed Retreats

​

Unless specifically advertised as women-only, men-only, or otherwise restricted, Bookish Haven Retreats may be co-ed.

Participants should review the applicable retreat description before booking.

 

Travel & Transportation

​

Unless specifically listed as included, participants are responsible for:

​

• Airfare

• Transportation to and from the retreat destination

• Airport transportation

• Rental vehicles

• Parking

• Travel insurance

• Personal purchases

• Optional activities

• Meals not listed as included

• Other personal travel expenses

​

Participants are responsible for arriving at designated locations at the communicated times.

​

Bookish Haven Retreats is not responsible for personal travel disruptions including flight cancellations, delays, missed flights, lost luggage, missed transportation, or additional personal travel expenses caused by circumstances outside our control.

​

Travel insurance is strongly recommended.

 

Activities & Participation

​

Participation in retreat activities and excursions is voluntary unless otherwise stated.

Activities may involve physical activity, transportation, outdoor environments, water activities, alcohol, third-party vendors, or other inherent risks.

​

Participants are responsible for determining whether they are comfortable and able to participate.

Participants must follow reasonable safety instructions provided by hosts, vendors, transportation providers, lodging providers, guides, and activity operators.

​

Choosing not to participate in an included activity does not qualify the participant for a refund or retreat credit.

 

Guest Conduct

​

Participants are expected to maintain a respectful and safe retreat environment.

Participants agree to:

​

• Treat attendees, hosts, vendors, property owners, and others respectfully.

• Follow reasonable host and safety instructions.

• Follow lodging and venue rules.

• Respect the privacy and property of others.

• Take responsibility for their own conduct.

• Refrain from harassment, threats, violence, illegal activity, intentional property damage, or materially disruptive behavior.

Bookish Haven Retreats may remove a participant whose conduct creates a serious safety concern or materially disrupts the retreat.

​

Removal for serious misconduct may result in forfeiture of unused retreat services without refund or credit to the extent permitted by applicable law.

 

Alcohol

​

Alcohol consumption is optional.

Participants who consume alcohol are responsible for drinking responsibly, following applicable laws, and not operating a vehicle while impaired.

Participants must meet the applicable legal drinking age to consume alcohol.

 

Age Requirements

​

Unless specifically stated otherwise, participants must be 18 years of age or older to attend.

Age-restricted activities and alcohol consumption remain subject to applicable legal requirements.

 

Health, Dietary & Accessibility Requests

​

Participants are responsible for notifying Bookish Haven Retreats of applicable:

​

• Food allergies

• Dietary restrictions

• Accessibility requests

• Mobility limitations

• Other accommodation requests

​

Requests should be submitted by any deadline provided for the retreat.

Bookish Haven Retreats will make reasonable efforts to accommodate requests but cannot guarantee every request can be fulfilled.

Participants remain responsible for managing their personal health needs, medications, dietary requirements, and medical care.

 

Personal Property

​

Participants are responsible for their personal belongings.

Bookish Haven Retreats is not responsible for lost, stolen, forgotten, misplaced, or damaged personal property except to the extent required by applicable law.

​

Required Waivers & Documentation

​

Participants may be required to complete additional documentation before attending, including:

​

• Participant Waiver & Release

• Emergency contact information

• Health or allergy disclosures

• Transportation acknowledgments

• Activity-specific waivers

• Other retreat-specific documentation

​

Required documents must be completed by the deadline provided.

Failure to complete required documentation may affect a participant's ability to participate in the retreat or specific activities.

​

Third-Party Providers

​

Bookish Haven Retreats may use independent third-party providers for accommodations, transportation, dining, tours, activities, workshops, excursions, entertainment, and other retreat services.

Third-party providers may have their own rules, restrictions, requirements, and waivers.

Participants are responsible for complying with applicable third-party requirements.

​

Photos & Media

​

Photos and videos may be taken during retreats.

Participants who do not wish to appear in promotional photographs or videos controlled by Bookish Haven Retreats should notify us in writing before the retreat.

Separate consent may be requested for testimonials, interviews, featured promotional content, or other specific uses when appropriate.

​

Privacy & Confidentiality

​

Participants are expected to respect the privacy of other attendees.

Personal stories, private information, and sensitive discussions shared by another participant should not be publicly disclosed without that person's permission.

Participants should respect reasonable requests regarding photographs, videos, and social media.

 

Chargebacks & Payment Disputes

​

Participants with a concern regarding their reservation or payment are encouraged to contact Bookish Haven Retreats so we have an opportunity to address the issue.

If a chargeback or payment dispute is filed concerning a payment Bookish Haven Retreats believes was properly authorized and valid under the terms accepted by the participant, Bookish Haven Retreats may provide relevant documentation to the financial institution or payment processor.

Documentation may include:

​

• Booking records

• Policy acknowledgments

• Signed or electronic agreements

• Invoices

• Payment history and receipts

• Emails, text messages, or other written communications

• Documentation of accommodations, vendors, activities, or services reserved or provided

​

Bookish Haven Retreats may decline future reservations when reasonably necessary because of fraudulent payment activity or unresolved payment disputes.

​

Nothing in this section limits rights available under applicable law or applicable payment-network rules.

 

Liability & Assumption of Risk

​

Participation in a Bookish Haven retreat is voluntary.

​

Travel, activities, excursions, transportation, and other retreat experiences may involve inherent risks.

Participants are responsible for determining whether they are comfortable and able to participate and for following applicable safety instructions.

​

Additional assumption-of-risk and release-of-liability provisions may be included in the separate Participant Waiver & Release.

​

Nothing in these policies excludes or limits liability where doing so is prohibited by applicable law.

 

Circumstances Beyond Our Control

​

Events outside the reasonable control of Bookish Haven Retreats may affect retreat operations. These may include severe weather, natural disasters, government restrictions, public emergencies, transportation disruptions, property closures, utility failures, or other extraordinary circumstances.

 

When reasonably possible, Bookish Haven Retreats may modify, relocate, postpone, or reschedule affected portions of a retreat.

​

Any refund, retreat credit, rescheduling option, or other remedy will be determined based on the circumstances, applicable vendor commitments, amounts recoverable from third parties, these policies, and applicable law.

​

Acceptance of Policies

​

By affirmatively accepting these policies and completing a reservation, the participant confirms that they:

​

• Were provided access to these Retreat Policies & Terms.

• Had an opportunity to review them.

• Understand whether the Standard 6-Month Cancellation Policy or Special Destination 12-Month Cancellation Policy applies to their reservation.

• Understand that deposits are non-refundable.

• Understand that retreat payments become non-refundable and ineligible for retreat credit once the applicable cancellation deadline is reached.

• Agree to the policies applicable to their reservation.

Electronic checkboxes, electronic signatures, and other electronic acknowledgment methods may be used as evidence of acceptance.
