No Refund Policy

​

We understand that life happens and plans may change. Because Bookish Haven Retreats (BHR) requires advance planning, lodging reservations, supplies, vendor commitments, and other retreat expenses, all bookings are considered non-refundable.

​

This applies to both paid-in-full reservations and payment plans, and includes cancellations for any reason (including but not limited to illness, personal emergencies, travel issues, scheduling conflicts, or other unexpected circumstances).

​

A $100 non-refundable deposit is required to secure your retreat reservation. Your spot is not reserved until the deposit has been received.

​

We highly recommend purchasing travel insurance to help protect your investment in the event you are unable to attend.

​

Credit Policy

​

If you need to cancel, you may receive a credit toward a future BHR retreat based on how far in advance you cancel.

​

6 or more months before the retreat:
Receive a credit equal to the amount paid, minus the non-refundable deposit. The deposit may be transferred if applied toward another eligible upcoming retreat.

​

Between 4 to 6 months before the retreat:
Receive a credit equal to 50% of the amount paid.

​

Less than 3 months before the retreat:
Due to financial commitments already made for the retreat, cancellations during this timeframe are not eligible for future credit.

​

Credit is based on the amount paid at the time of cancellation, not the total retreat cost.

 

Credit eligibility is determined by the date your written cancellation request is received by BHR.

 

Retreat credits must be used within 24 months from the cancellation date and are subject to availability.

 

Credits and reservations are non-transferable unless approved by BHR.

 

No-shows or failure to attend will not receive credit.

 

Payment Plans & Fees

Payments must be made according to the agreed payment schedule provided by coordinator.

 

All retreat balances must be paid in full by the final payment deadline provided.

 

A 5% processing fee will be applied to all payments.

 

Processing fees are non-refundable.

 

A $10 late fee will apply for late payments.

 

After two missed payments without communication, your reservation may be canceled and payments already made will follow the cancellation policy.

Retreat Modifications & Travel Responsibility

If Bookish Haven LLC Cancels a retreat

​

In the unlikely event that BHR cancels the retreat, guests will receive a full refund of all payments made, including the non-refundable deposit.

​

• Refunds will be issued to the original form of payment within a reasonable processing timeframe.

​​

• This applies only if the retreat is fully canceled by BHR and will not take place.​

​

Minimum Attendance Requirement

​

BHR reserves the right to cancel, modify, or reschedule any retreat if the minimum number of guest required to operate the retreat is not met.

​

In the event of a cancellation due to low enrollment, guests will be offered the option to:

​

• Receive a full refund of all payments made, or transfer their reservation to a future retreat (subject to availability).

​​

Bookish Haven is not responsible for any additional expenses incurred by guests, including but not limited to airfare, transportation, accommodations, or other travel-related costs.

​

Venue or Location Changes

​

BHR reserves the right to make changes to the retreat venue, property, or location if necessary due to availability, safety concerns, or unforeseen circumstances.

​

If a change is made, the retreat experience, accommodations, and overall value will be maintained as closely as possible.

​

Changes within the same general destination area are not eligible for refunds or credits.

​

Travel Responsibility

​

Guests are responsible for arranging and managing all personal travel plans, including:

​

• Flights and airfare

• Ground transportation (rental cars, rideshare, etc.)

• Any additional accommodations outside of the retreat

​

Bookish Haven Retreats (BHR) and the hosts are not responsible for:

​

• Flight delays, cancellations, or missed connections

• Travel disruptions of any kind

• Any costs associated with travel changes, cancellations, or delays

Additional Terms & Guest Responsibilities

​

​

Property & Damages

​

• Guests are responsible for any damage they cause. Any related costs may be charged to the responsible guest. If responsibility cannot be determined, costs may be shared among guests when applicable.

​

Shared Accommodations

​

• This is a shared home, venue, or hotel experience.

• Guests are asked to kindly respect others, noise levels, and shared spaces.

• Room assignments are final unless changes are requested and approved by the host.

​

Check-In & Check-Out

​

• Guests must follow the provided check-in and check-out times.

• Early check-in or late check-out requests are not guaranteed and must be approved by the host.

​

Alcohol & Behavior

​​

• Guests are responsible for their own alcohol consumption and personal choices.

• Illegal substances are not permitted.

• Unsafe, disruptive, or inappropriate behavior may result in removal from the retreat without refund or credit.

​

Force Majeure

​​

 BHR is not responsible for delays, modifications, cancellations, or changes caused by events outside of our control, including but not limited to:

​

• Weather or natural disasters

• Government restrictions or regulations

• Emergencies or unexpected circumstances

• Travel disruptions

• Acts or events beyond BHR’s reasonable control

​

BHR will make reasonable efforts to adjust plans when possible while maintaining the overall retreat experience. 

​

Age & Guest Policy

​

Guests must be 18 years or older unless otherwise approved by BHR.

Bookish Haven Retreats are coed unless a retreat is specifically advertised or stated as a gender-specific retreat.

Only registered guests are permitted to attend. No unregistered guests or visitors are allowed.

Attendance Policy

​

No refunds or credits for:

​

• Late arrival

• Early departure

• Missed activities

​

Communication

​

Guests are responsible for checking all retreat updates and communication sent through email, messages, and/or the designated retreat group chat.

​

BHR is not responsible for missed information due to guests not reviewing provided communication channels.

​

Right to Refuse or Remove

​

BHR reserves the right to remove any guest from a retreat for unsafe, disruptive, disrespectful, or inappropriate behavior.

​

Removal due to policy violations or behavior concerns will not be eligible for a refund or credit.

​

Optional Activities

​

Optional activities are not included in the retreat fee unless specifically stated in the retreat details or itinerary.

​

Guests are responsible for any personal expenses, tickets, transportation, or costs associated with optional activities.

​

Food & Dietary Disclaimer

​

Only meals specifically listed in the itinerary will be provided. BHR will also provide light snacks and beverages throughout the stay.

​

We will do our best to be mindful of dietary needs when possible, but we cannot guarantee accommodations for all allergies, restrictions, or preferences.

​

By attending, guests acknowledge that food is prepared in shared spaces where common allergens may be present. BHR and the host are not liable for any food-related reactions or dietary concerns.

​

Third-Party Vendors

​

• BHR is not responsible for services provided by third parties
  (transportation, excursions, restaurants, etc.)

​

Lost or Left Items

​

• BHR is not responsible for items left behind

• Shipping (if offered) at guest expense

​

Health & Medical

​

• Guests are responsible for their own health and medical needs

• BHR is not responsible for medical care or emergencies

​

Emergency Contact

​

• Attendees will be required to provide emergency contact information to the host before arrival.

 

​

Additional Legal Terms & Protections

​

 

​Chargebacks & Payment Disputes

​

By booking, Attendees agree not to initiate chargebacks or payment disputes with their bank or payment provider.

​

• Any concerns or disputes must be addressed directly with Bookish Haven Retreats LLC

• Initiating a chargeback after agreeing to these terms may result in 

• Forfeiture of funds, loss of eligibility for future BH events and additional action as permitted by law

​

Liability Waiver Acknowledgement

​

By completing a booking, Attendees acknowledge and agree that participation in the retreat is voluntary and at their own risk.

​

• Booking serves as acceptance of all terms and a release of liability for Bookish Haven Retreats and the hosts

• Attendees agree to hold harmless BHR and its representatives from any claims arising before, during, or after the retreat

Group Dynamics

​

This retreat is a shared group experience.

​

• BHR is not responsible for interpersonal conflicts between guests

• Attendees agree to communicate respectfully and resolve any concerns in a considerate manner

 

Roommate & Accommodation Expectations

​

• Roommate preferences are not guaranteed, but BHR will do our best to accommodate requests when possible.

• Guests acknowledge and accept shared accommodations as part of the retreat experience

• Guests understand accommodations may include shared rooms and/or shared beds if selected during booking.

 

Reservations & Availability

​

• Spots are not held without payment

• Reservations are secured only once the required deposit or payment is received

• All bookings are first come, first served

​

Itinerary Flexibility

​

• Retreat activities, schedule, and inclusions may be adjusted as needed

• Changes may occur without prior notice due to availability, weather, or unforeseen circumstances

• BHR will make reasonable efforts to maintain the overall retreat experience and value

​​

Media Release

By attending, guests grant Bookish Haven Retreats LLC permission to capture and use photos, videos, and content taken during the retreat for marketing, social media, and promotional purposes.

Guests who do not wish to be photographed must notify the host in writing prior to the retreat.

​

While we will make reasonable efforts to honor requests, guests understand they may appear in group or background photos.

​

By booking a Bookish Haven Retreat, you confirm that you:

Have read and understood all policies and terms

Agree to all conditions outlined

Accept full responsibility for your participation
